We find that many businesses use PayPal to process their credit card payments and want an easy way to import these transactions into QuickBooks. This blog post will provide step by step instructions on how to quickly and easily import these PayPal transactions into QuickBooks.
Step 1: Download the proper file from PayPal
PayPal provides many reports but not all of them provide you with completed transactions. You will need to login to PayPal and change the settings for your download file:
- Click History/Download History
- Click Customize Download Fields and select the fields below and select Save.
Then you will need to select the date range and select the file type, Comma Delimited – Completed Payments. Once the report has been generated save it to your computer.
Step 2: Log into the Intuit App Center and select your import file and import type of sales receipt.
Step 3: Complete your mapping and select the save map button to save your map for future imports. We have provided a suggested mapping that you can use. Please modify as needed.
Step 4: Review how your data will be mapped to the QuickBooks Online fields. Once happy with the data mapping select those transactions that you want to upload into QuickBooks Online and select the Import button to start the import.
Step 5: Review your data in QuickBooks Online.

First create an item on your products and services list in QuickBooks Online to use for the PayPal fees that points to the proper account. In this example we set up an item called PayPal Fees.
Then modify the mapping above for the fields high lighted in yellow.
Below is a sample sale receipt that was created using the Transaction Pro Importer mapping above.
