Often times mass updates need to made to certain fields on existing QuickBooks customers. Rather than manually enter these changes in QuickBooks on each individual customer you can use Transaction Pro Importer to update certain or all fields on an existing customer record.
In the example below the company has determined that they need to implement acccount numbers and populate the custom field source.
First you should go into your QuickBooks company file and under the Reports/Customer & Receivables menus select the Customer Phone List. Then select the Export button and select Export QuickBooks report to: a new excel workbook.
Once you have saved the excel file you will then add two separate columns: account # and source and populate these fields. These changes are highlighted in yellow in the screen shot below.
Since you want to update the existing customer list you will need to make sure you have the following option unchecked within Transaction Pro Importer for QuickBooks: Do not update addresses on existing QuickBooks List Items.
Since we are using custom fields on the Customer list (source) we need to enable custom fields on the Advanced tab in Transaction Pro Importer for QuickBooks.
On the Transaction Pro mapping screen merely just map the customer name and the two fields that you want to update: Account Number and cfc-Source. If you do not map any data to any of the other QuickBooks fields they will not be updated on your customer cards.
This week we had a Transaction Pro Importer customer tells us that they successfully updated one custom field on over a thousand customers saving them hours and hours of work. This update features is also available on the other list imports in Quickbooks which are listed below.
- Item Assemblies
- Item Groups
- Other Names
- Price Levels
