Often times your import files either contain items that do not exist in your QuickBooks company file. Below we will describe several options that you can consider using with Transaction Pro Importer for QuickBooks.
Let Transaction Pro Importer create the new items for you
If you want Transaction Pro Importer to create a new item that does not already exist in your QuickBooks company file simply complete the information requested on the last screen of Transaction Pro Importer, the QuickBooks Items Settings screen. In the example below if an item does not exist in your QuickBooks company file Transaction Pro Importer will create a new service item using the Construction Income account and the sales tax code of non.
You can further refine this by including a column in your import file that has the account to be used for new accounts only and by enabling the command line parameter /ITEMACCT. More information on how to enable this command line can be found here.
Please note that you will need to complete this last screen even if your import file does not contain any items.
Set the option to not create new items in QuickBooks
Often times the user wants the ability to set up all the specifics of a new item within QuickBooks pre-import or perhaps they have a concern that there might be a typo in the import file of the item name. You can have the ability to manually review new items pre-import by enabling the option on the basic options tab, “Do not add new items to QuickBooks.”
If Transaction Pro does not find a matching item in your QuickBooks company file an exception report will be generated pre-import so that you can either edit or create the item in QuickBooks or perhaps change the item name in your import file.
Use the Item Cross reference Feature
What if your web store uses a SKU and your QuickBooks company file uses a name for the product. What you can do is store the SKU from the web store in a custom field under the correct item in your QuickBooks company file. Then you would enable the option to cross reference item custom field value for item name on the advanced tab. You can find out more about this feature in this blog post.
